The 5 hidden costs of writing quotes in Excel

In 30 seconds

An Excel quote template looks free, but broken formulas, lost versions and untracked quotes get expensive over time. Five hidden costs and simple fixes.

Most small businesses start quoting in Excel, and it makes sense: everyone already has it, you build a quote template once and copy it from then on. The trouble starts when the template no longer looks like it did on day one. In the firms we consulted for, we watched Excel quote files grow out of control again and again. The costs never show up on an invoice, but you pay them every week.

1. Broken formulas

Someone adds a row and the total formula does not include it. Someone types over a discount cell by hand. The total sent to the client is wrong, and more often than not the client is the one who spots it. A single wrong total makes them question the whole quote.

2. Which version is the right one?

"Quote_final", "Quote_final_rev", "Quote_final_rev_2". When the client asks for a change, just finding the file you actually sent takes time. Keeping revisions in order under a single quote ends the problem.

3. It looks different every time

Column widths shift, the logo spills onto another page, and when you export to PDF the last line drops onto page two. How your quote looks is the client's first impression of how organised your business is.

4. Product and price details are retyped every time

The same products are typed in by hand on every quote, and prices are copied from an old file. When the list price changes, nobody knows which quotes went out at the old price. Defining products once and picking them from a list is both faster and more consistent.

5. The quote disappears once it is sent

This is the biggest cost. Excel prepares the quote, but it does not follow it up. Which quotes are waiting for an answer, which have gone cold, who called whom and when? That information lives in a separate sheet, a notebook or someone's head, if anywhere. A large share of lost jobs are lost simply because nobody called back.

What to do instead

  • Use a tool that calculates totals automatically, not by hand.
  • Keep every revision of a quote under the same record.
  • Define products once and select them from a list on each quote.
  • Set a follow-up date for every quote you send.

You do not even need to sign up to get started: with our free quote generator you can create a PDF quote in a few minutes.
