How a VRF quote differs from a split AC quote

With split air conditioning, each room has its own outdoor unit. A VRF system, which Daikin calls VRV, runs several indoor units from one outdoor unit. That means an equipment list on its own is not enough: branch joints, controllers, the pipe route and commissioning are all part of the system. The customer is often a fit-out contractor, an architect or a building services consultant who checks the quote line by line against the drawings. A missing Refnet joint or controller turns into extra work and a price argument on site.

List lines in the order the system is built

  • Outdoor unit: model and supply; the Daikin RXYSQ6TY9 in the example is three-phase.
  • Indoor units: type, model and the room each one serves; here four FXZQ25A and two FXZQ32A fully flat cassettes.
  • Refnet joints: five KHRQ22M20T for six indoor units, with the count taken from the pipe schematic.
  • Controllers: one Madoka wired remote controller (BRC1H52W, white) per indoor unit.
  • Services: refrigerant pipework, control cabling, condensate drain and commissioning on separate lines.

Pipework, refrigerant charge and builder's work

On a VRF system the additional refrigerant charge depends on the actual pipe lengths. Take the pipework length from the survey or drawings, put it on the quote and state in the terms that any difference is charged per metre. Ceiling openings for the cassettes, the base or brackets for the outdoor unit and the three-phase supply are usually by others. Listing them as exclusions makes it clear from day one who does what on site.

A price-free template you complete yourself

The example carries no prices, because project discounts, labour and site conditions change from job to job. In Tekliva's free quote generator the outdoor unit, cassettes, Refnet joints and Madoka controllers can be added from the catalogue in the same order. You enter your own unit prices, upload your logo and download the PDF without signing up. Commercial VRF quotes are normally given net, so add a note that VAT is charged at 20%.

Project quotes take longer to follow up

A VRF quote can wait weeks or months for a decision. The consultant asks for a revision, the client swaps an indoor unit type, the architect changes a ceiling detail. Keeping each revision as its own version, and knowing which one was sent last, saves a lot of confusion. In the Tekliva panel you get a notification when the quote link is opened, set follow-up reminders and sort projects into hot, warm and cold, so the whole team sees where each job stands.

FAQ

What should a VRF quote include?

The outdoor unit, indoor units, branch joints, controllers and service lines for pipework, cabling, drainage and commissioning. Exclusions should be listed too.

How many Refnet joints does a VRV system need?

It follows the branch points on the pipe schematic. Six indoor units on one line, as in the example, usually need five joints.

Why is the additional refrigerant charge listed separately?

The extra charge depends on the actual pipe lengths. Showing it in the commissioning line or on its own line makes clear how site differences are handled.

Is there a difference between a VRV and a VRF quote?

VRV is Daikin's name for the system; VRF is the general term for the same type. The quote structure is the same.

How can I make a free VRF quote as a PDF?

In Tekliva's free quote generator you pick the products from the catalogue and enter your own prices. The PDF with your logo downloads without an account.
