Fan Coil Quote Example for an Office or Hotel Floor

What a fan coil quote should include

A fan coil quote for a whole floor is more than one line for the units. The client, the M&E consultant and the main contractor all want to see the models, quantities, controls, pumping and installation scope on the same page. Anything missing tends to come back later as a variation dispute on site.

• Units: model code, type (concealed ceiling, 2-pipe) and quantity
• Controls: one room thermostat per zone
• Hydronic side: circulator, valves and connection kits
• Services: installation, condensate connection, wiring, commissioning
• Terms: VAT, lead time, payment stages and validity

Select units from the room schedule

Start from the room schedule: room name, floor area, use (cellular office, meeting room, hotel bedroom) and the void above the suspended ceiling. Smaller rooms usually take the smaller casing, open-plan areas and meeting rooms the larger one. In the example below there are six Daikin FWE04FT and four FWE06FT units, each with its own Smallart room thermostat. Check every selection against the manufacturer data and your own design assumptions, and state those assumptions in a short note on the quote.

Be clear about ductwork and ceilings

With concealed ducted units, most of the difference between two quotes is scope. Are the ductwork, grilles, plenum boxes and ceiling access panels yours or the fit-out contractor's? Where does the condensate drain connect? Who provides the electrical supply and the thermostat cabling? Answering these questions under a clear Exclusions heading saves a lot of discussion later.

Do not forget the pump and the circuit

Fan coils are served by a chiller, heat pump or boiler circuit. If the floor needs its own circulator, show it as a separate line; the example uses a Wilo Yonos MAXO 30/0.5-10. Size the pump from the circuit flow rate and pressure drop. If the existing pipework and pump are reused, say so in the quote.
